Illustration of a dental clinic managing invoices and patient dues

The best dental billing software for your clinic should keep treatment charges, received payments and patient dues understandable to the dentist, receptionist and accountant. A polished invoice PDF is only one part of that job.

This comparison is published by Dentiva and includes Dentiva. It uses official product documentation checked on 26 October 2026, not hands-on competitor testing or a ranked endorsement. It focuses on Indian patient billing, not US insurance-claim processing. A feature advertised by a provider still needs demonstration in the plan you are buying.

Six billing options to shortlist

Practo RayProfessional billing and a separately priced payment serviceConfirm plan terms, collection charges and the invoice-to-settlement report

DentobeesTreatment, lab and pharmacy invoices with full or partial paymentsConfirm the quoted tier and trace a patient balance across visits

The last column is an unanswered buying question, not evidence that a competitor lacks a feature. For published prices, billing periods and unknown costs, use the software pricing guide. For a wider shortlist including clinical workflows, see ten dental software options.

Run this billing scenario in every demo

Use a fictional patient and a clinic-agreed treatment total of ₹18,000, paid as ₹5,000, ₹8,000 and ₹5,000. These are arithmetic assumptions for software testing, not treatment-price recommendations or customer results.

EventTotal billed in this examplePayments recorded so farExpected remaining balance
Invoice prepared and finalized₹18,000₹0₹18,000
First receipt verified and recorded₹18,000₹5,000₹13,000
Second receipt verified and recorded₹18,000₹13,000₹5,000
Final receipt verified and recorded₹18,000₹18,000₹0

Ask the vendor to perform the following tasks with your receptionist rather than skipping straight to the paid invoice.

Create an itemised invoice

Check service descriptions, quantities, agreed discounts, clinician and patient identity. The clinical treatment plan, estimate and issued invoice serve different purposes. Demonstrate how staff avoid billing twice when a patient returns for the next sitting.

Record a partial payment

Ask for a receipt against the correct invoice, with method, amount and reference where supported. The invoice should retain its total while showing cumulative receipts and the remaining amount. Verify what happens when a payment is accidentally entered twice or against the wrong patient.

Separate UPI evidence from a payment record

A patient can show a successful payment on their phone before the clinic has confirmed receipt. Verify in the clinic's bank or merchant app, then record the confirmed amount through the supported workflow. Demonstrate who can record or correct it. Ask separately about gateway verification and fees if that is part of the offer.

Find pending dues at the next visit

Search the patient and inspect the invoice history. Confirm whether a report lists balances, how dates and branch filters work, and which staff can access it. A due amount is not necessarily overdue: use your agreed payment schedule when following up.

Correct an error without losing its history

Ask to change a draft, correct a finalized document, reverse an incorrect receipt and handle a refund or credit. These may be different workflows, and not every product supports all of them. Require an actual demonstration and written scope rather than assuming an Edit button covers everything.

Give the accountant a usable export

Open the downloaded file. Check identifiers, dates, total, paid, balance and status; then confirm whether payment-level detail is separate. Reconcile the sample with the visible screen. An invoice-summary CSV is not a full accounting ledger or every individual payment transaction.

Dentiva's billing workflow and boundaries

Dentiva supports itemised invoices, manual payment recording and patient dues. The invoice CSV includes invoice number, patient name/ID, date, status, total, paid and balance due; export permissions apply. The current endpoint limits an export to 10,000 invoice rows, so larger datasets need a scoped export plan rather than an assumption of unlimited historical extraction.

Direct UPI receipts require manual verification and recording. Do not expect every tooth finding to generate an invoice, a QR scan to mark it paid, or a historical invoice CSV to import through the patient-directory wizard. Show your requirements in the billing demo and review plans.

These are meaningful limitations to check alongside the benefits. Dentiva's patient billing should not be described as a complete accounting package or an insurance-claims submission system.

GST questions belong in the evaluation

Have your tax adviser identify the clinic's requirements before configuring rates and document formats. Healthcare exemptions, retail goods and cosmetic services raise different questions; a service label alone does not establish the treatment for every transaction. Software cannot decide legal applicability for your clinic.

The existing dental billing and GST workflow guide covers the operational questions to take to your adviser and links to official tax resources. This comparison does not prescribe a universal rate.

Which clinic requirements change the shortlist?

A single-chair practice may need quick invoice creation and a clear patient balance more than complex finance modules. Test how easily the dentist can complete billing between consultations.

A growing practice needs a handover: the clinician records care, reception handles receipts and the owner checks collections. Give each a separate user role in the demonstration.

A multi-branch group should show location context, access restrictions and the relationship between branch figures and underlying invoices. Consolidated totals alone do not prove the correct staff access.

If the clinic dispenses stock or sends work to a lab, ask how patient billing relates to pharmacy and inventory and supplier/lab records. Do not assume the presence of all three modules makes every step automatically reconciled.

Purchase checklist

Before signing, keep evidence of a correct sample invoice, three partial receipts, a corrected mistake, a patient-dues view and an opened export. Ask for the total subscription and optional fees, the written support process and the migration scope. Compare those facts with the receptionist's ability to complete the tasks.

Which dental billing software is best for partial payments?

Shortlist systems that advertise the workflow, then run the same multi-visit example. The correct balance, correction process and accountant-ready evidence matter more than a general billing tick in a comparison table.

Is patient billing the same as practice accounting?

No. Patient invoices and receipts describe charges and collections. Practice accounting also involves expenses, payables, bank reconciliation and tax reporting. Agree what stays in the accountant's system and how records move between them.

Will sending a payment link automatically collect dues?

No. A link is a route to payment. Collection depends on the patient, the payment service, successful settlement and the supported update process. Follow up respectfully and reconcile received money before marking a balance as settled.

Can we change systems while patients still owe money?

Yes, with a checked transition plan. Preserve source invoices and receipts, agree how opening dues will be handled, and validate patient-level totals. Do not assume a directory import transfers the financial ledger.
