Illustration of dental clinic invoicing and payment records

Dental software pricing is easiest to compare when every quotation covers the same clinic: the same doctors, staff, branches, storage and messaging needs. A low starting price can describe an annual commitment, a limited edition or a package without the communication workflow you need.

This guide is published by Dentiva. Prices below were checked against official vendor pages and Dentiva's plan catalogue on 26 October 2026. They are a dated buying reference, not a promise of future renewal prices. Unknown amounts remain unknown; we have not filled gaps with marketplace estimates.

Compare the billing period before the headline price

ProductPublished price or quote routeCommitment and exclusions to confirm

A price absent from a checked page means request a quote, not free, expensive or unavailable. Use the ten-product buying guide to compare workflow fit as well as price.

What Dentiva's plans actually cover

The current plan comparison owns the final values. This is a snapshot to make the buying arithmetic clear.

LimitStarterGrowthFull Ops

Storage2,048 MB10,240 MB51,200 MB

Website Studio is available on Growth and Full Ops, not Starter. A WhatsApp allowance is a credit allowance, not a promise that every type of message costs the same or will be delivered. A clinic needing a published website should compare the relevant plan rather than assume the entry subscription includes it.

Seven costs to put in writing

1. Annual prepayment and renewal

Ask for the amount due today, the service period, renewal price and cancellation terms. Divide annual cost by twelve only to compare monthly equivalents; do not describe that result as a cancellable monthly contract. Ask whether an introductory discount changes at renewal.

2. Doctors, staff and locations

Count named users by role. A clinic with one owner, three associates and two receptionists has different requirements from a single-dentist practice. Ask whether temporary consultants count as seats and whether location access adds a separate charge. Avoid sharing logins to fit a cheaper quote.

3. WhatsApp and SMS

Request the included unit, deduction rule, expiry, top-up price and eligible message categories. Check whether the vendor uses its sender or your clinic's account, and what happens when a patient replies or a delivery fails. Meta's official platform pricing is distinct from a software provider's subscription, credit pack and service fees.

Do not convert a bundle into a universal per-message rate without knowing its deduction rules. Verify current terms for each provider; this article does not publish an assumed Meta rate.

4. Payment collection

Recording cash or a direct UPI receipt is different from processing a gateway transaction. Ask whether gateway, platform or transaction charges apply to each payment route. Practo documents separate Ray Payment Solution fees; those terms should not be applied to another vendor or to every UPI payment.

In Dentiva, a direct UPI payment needs confirmation in the clinic's bank/UPI records and a recorded receipt. Sending a QR or payment link is not proof that the clinic received money.

5. Import and onboarding

Separate a patient-directory import from the transfer of clinical records, attachments and financial history. Ask who maps fields, checks duplicates, validates the sample and handles exceptions. A free import can have limited scope. Use the migration checklist before accepting a quote.

6. Storage and additional modules

Ask whether radiographs, clinical photos and documents use the same storage allowance. Check overage handling and export scope. Specialty modules, inventory, lab workflows, websites and analytics may be separate products or plan gates rather than included in an entry price.

7. Tax and exit costs

Confirm tax on the software purchase separately from tax treatment of patient care. Ask what happens to read access after cancellation, whether there is an export charge and which formats are available. Obtain a sample export while you can still evaluate it.

A three-year cost comparison you can reproduce

These are subscription-only examples at today's Dentiva rates, assuming unchanged prices for all three years. They exclude tax, additional credits, optional services and any unquoted work. They are not a locked renewal offer.

PlanMonthly payments for 36 monthsThree annual paymentsDifference in base subscription
Starter₹999 × 36 = ₹35,964₹9,590 × 3 = ₹28,770₹7,194
Growth₹1,599 × 36 = ₹57,564₹15,350 × 3 = ₹46,050₹11,514
Full Ops₹3,199 × 36 = ₹1,15,164₹30,710 × 3 = ₹92,130₹23,034

For a hypothetical four-doctor, two-receptionist clinic at one location that needs Website Studio, Growth fits those specific seat/location and website requirements. That does not establish that it meets every workflow requirement; test the actual account. Starter's lower price does not solve a requirement outside its limits.

Add your own quoted inputs to calculate full cost:

text
36-month cost = subscriptions across the three years
              + setup and agreed migration
              + messaging top-ups
+ additional seats, branches and storage
              + optional modules and hardware/support
+ applicable taxes and processing fees
              + agreed export/exit costs

If an input is unknown, mark the total incomplete. Do not put zero into an empty quotation cell. Keep revenue projections out of this cost worksheet unless you have separate evidence for them.

Free software, free trials and open source

These are three different offers. A permanent free tier can have usage or feature limits. A trial expires. An open-source licence does not provide hosting, backup, upgrades or implementation work by itself.

One useful correction to generic comparison lists: Open Dental's official fees include a developing-country provision naming India, with limited support. Its standard US fees should not be presented as the automatic price for an Indian clinic. Ask about eligibility, deployment, support and add-on availability before budgeting. Free licensing can still leave technical operating costs.

Dentiva offers a 14-day trial, not a permanent free plan. Use it to evaluate scheduling, records and billing with your own requirements. Read the current trial, subscription and refund terms before purchasing.

A quotation request to send every provider

Copy this request and replace the inputs. It is an evaluation worksheet, not a Dentiva import file.

Pricing questions

How much does dental clinic software cost in India?

The checked offers use different periods and scopes. This guide lists official published prices where available and quote routes otherwise. Compare the actual package, taxes and usage rather than an unsupported market-wide average.

Is annual billing always the better choice?

It can reduce base subscription cost, but requires a longer payment commitment. Validate staff usability, import scope and exit terms before choosing it. A cheaper annual amount does not compensate for a workflow your clinic cannot use.

Are WhatsApp messages unlimited?

Check the specific plan and provider terms. Included credits, template category, extra packs and sender arrangements can differ. Do not treat one vendor's allowance as the policy for the entire market.

Does a billing feature include accounting and insurance claims?

Not necessarily. Compare the patient-billing workflow and ask your accountant about ledger, tax and reconciliation requirements. Insurance submission requires separate, demonstrated support.

For Dentiva, compare plans, review the product and book a demonstration before making your decision.
